System Navigator -
The exclusive built-in System Navigator within the NOVAtime 2000 software; will assist you through all the steps necessary to successfully implement and maintain your NOVAtime Time and Attendance system; of course, Time Clock World offers personalized assistance for those who may want or need the additional help.

The System Navigator, which guides users through a step by step flow-chart-style screen for setting up their system, also serves as a central starting point once the system is implemented allowing a user to gain access to their most common operations. The System Navigator has 6 areas covering Daily, Monthly, and Annual recommended procedures along with a New Hire, Payroll Procedure, and "Easy Setup Interview" (System Configuration) procedure area.

 


Employee Management -
Setting up employees could not be simpler. Information can be imported from an existing payroll or accounting system or manually key-in at the conveniently formatted entry screen. Whichever way you choose, it only takes a few steps.

Up to 8 levels of employee groups can be defined (i.e. location, facility, department, job task, cost center, etc) to allow easy filtering of employees on reports by groups as well as hours worked in each specific group.

Although only a few fields of information are required by the software to operate, the NOVAtime 2000 software is dynamic and versatile being able to also handle variable pay rates and detailed personal information. In the EMployee Management area you will also find some of the control and setting screens for a number of the add-on modules available, such as the Accruals Module, Lock-Out Module, and NOVApic Module for printing professional employee plastic bar code badges (requires NOVApic module and specialized badge printer - call Time Clock World for more information on this module and printer).

 


Timesheet Management - Collected punch data is presented on an electronic timesheet to allow easy review of IN and OUT punches as well as total hours worked for the day, week, or pay period.  Three different timesheet views are available allowing users to select the format that best fits their needs. 

The "SBE-style" time sheet provides a familiar timesheet environment for users that upgrade from the NOVAtime 1000 SBE to utilize the enhanced capabilities and larger employee capacity of the NOVAtime 2000 software.

 

The "Classic-style" timesheet is the original NOVAtime 2000 software's timesheet format.  All the tools and features needed when editing or reviewing timesheets are just a click away in this "classic" timesheet view.

The third
and latest option of timesheet views is the "Pay Matrix-style" which has all the features and tools of the Classic-style time sheet but additionally includes hours and gross dollars (if pay rates are entered and made visible) distribution tables for viewing allocation of hours in a full screen view of the timesheet.

Whichever timesheet view you may choose, the NOVAtime 2000 software provides all the tools to quickly and easily find and fix exceptions that require editing such as missed punches, absentees, unauthorized overtime, etc.  Actual work hours are compared with the assigned shift schedule for each day, and automatically flags punch exceptions such as early in, tardy, early out, late out, long meal, and many more.
 

 

 


Report Management -
Choose from over 100 standard reports available for time and attendance, management, human resources, labor costing, and payroll. Report data can be previewed on the screen, sent to a printer, or even email in HTML or PDF (for PDFs Adobe Acrobat Writer required along with PDF add-on Module).  With dynamic sorting features and filtering you can generate thousands of report combinations. The NOVAtime 2000 software's Report Generator is built with SQL-Based technology and boasts the most flexible and dynamic reporting environment of any Time and Attendance software on the market.
 
The NOVAtime 2000 reports help you avoid unauthorized overtime, track employee status, control departmental costs, monitor staffing and much more  Report data can be previewed on the screen or sent to a printer. In addition, NOVAtime 2000 SBE can export report data in several file formats such as Microsoft Excel, CSV (comma separated values), DBF (data base file), TXT (text), and PDF (Adobe Acrobat Writer required) format.

An optional Custom Report Maker Module (see below) can be added for even more flexible and powerful reporting options. 

 



In / Out Board -
The IN / OUT Board is a powerful and valuable tool to instantly find out which employees are currently clocked IN or OUT, or even on vacation, sick, etc. It is easy to use and can be viewed in many combinations. Managers, Receptionists, and Security personnel can instantly obtain the information needed with just a few keystrokes.

The IN/Out Board allows you to easily and quickly determine who's IN and who's OUT at any given moment.  Numerous viewing options are available for the IN/OUT Board, such as viewing by Employee ID, Employee Name, Last Punch Time, or by group of employees under a specific Department or Job. You can also select to view a group of employees based on their current status (IN, OUT, Sick, Vacation, Meal, etc.)

 


Pay Rules Management - The problem of time management is universal, but each industry has a different methodology to be addressed and this software helps to accommodate these various industries’ requirements for time management. NOVAtime 2000 software can be configured to the language and terminology used in some industries, providing several industry templates, which in turn can be further customized by the user. In fact, many customers select their industries’ default templates and make only minor changes to reflect their in-house needs.

The dynamic Policy Management allows unlimited different pay policy rules to calculate hours for different groups of employees. Several punch rounding rules and total hours rounding can be easily defined to accommodate your company's requirements. Up to 5 Overtime levels with calculations that can be defined after a predefined number of worked hours daily, weekly, biweekly, as well as for holidays, weekends, consecutive days, days off, etc. with up to two different overtime multipliers. Additional overtime rules for unique needs include ability to accumulate daily overtime to the weekly overtime, out of shift / schedule overtime determination and allocation, and other special features.

An unlimited number of flexible and/or fixed shifts can be defined with different meal deductions or paid breaks as well as differential pay segments, premium pay based on either workday or time period, and on call employees with minimum guarantee pay.  The extensive ability to configure workday expansion and work hours carry over rules, add a level of complexity for handling those tough 24/7 and/or third shift (crossing midnight shifts) that many other softwares struggle to handle properly.

 



Payroll Management -
The NOVAtime 2000 features an exporting capability that provides a standard data is compatible with most major payroll systems and services (30 standard payroll interfaces included with over 200 more to choose from [call for pricing]).

 

 

ADD-ON MODULES

 

Accruals Module (ADD-ON MODULE) - The Accruals Module is designed to accumulate the number of hours earned towards various pay codes, such as vacation and sick pay.  It also displays the deduction towards the same pay codes for an employee.  Specific pay codes can be defined to accrue benefits. It can automatically accrue even the most complex accrual rules and will deduct any used time entered under the timesheet management automatically from the employee available balances, preventing the use of benefit hours when they are not available. Different accrual rules for different groups of employees can be defined, and manual adjustments can be done, if necessary, from the Accrual History screen. The flexibility of the Accruals module allows posting of accrued benefit hours in desired frequencies (weekly, bi-weekly, semi-monthly, monthly, annually, or even after a probationary period). The Accruals Module can also be configured to accrue benefit hours only when a minimum required number of work hours have been satisfied and one can specify which pay code hours (vacation, sick, etc.) would count towards satisfying such minimum required hours it even has the ability to be configured to "pay back" or compensate the employees for working overtime, IN LIEU of overtime pay. The Accruals Module even has Comp-Time Rules the are parameters (stored in the policy) that work in conjunction with the Accruals Module. These rules will automatically TRANSFER the timesheet OVERTIME to the Accruals Module as COMP-TIME without any user intervention

   
 

Custom Report Maker Module (ADD-ON MODULE - CALL FOR PRICING) - The Custom Report Maker Modules i an add-on that allows users to modify any of the over 100 standard reports within the NOVAtime 2000 software.  With this module a user can edit and delete fields, change the order in which data is presented, and even add their own static information to reports.  Starting with the already developed reports in the NOVAtime 2000 software, a user starts with an already predefined report template to build and edit for their specific needs. Endless combinations or reports and layouts can be made, its powerful and flexible, yet easier to use than a report writer.

   
 

Job Costing Labor Tracking Module (ADD-ON MODULE - CALL FOR PRICING) - The Job Costing Labor Tracking Module is an enhancement to the basic labor costing features built into the NOVAtime 2000 software. Administrators can assign various group level activities such as jobs, products and tasks required to complete a work order. Work orders can be defined based on hours or piece rates.  The Job Labor Tracking Module features a powerful, cell-editing input screen to easily review or edit job related transactions as well as quantities and rates. The Job Costing Labor Tracking module even has a convenient import-update feature which allows users to update or import your group information (work orders, jobs, tasks, customers, etc.) automatically from other compatible softwares using either CSV, XLS, or TXT formats eliminating the need for double entry.

   
 

Lock Out Access Module (ADD-ON MODULE - CALL FOR PRICING) - The Lockout Access Control Module prevents employees from using the time clock during predetermined time frames. The Lockout module can be used to prevent early punch IN or late punch OUT, reducing unauthorized overtime. Time clocks can be locked out globally to prevent use by anyone, or employees can be locked out individually based on their schedule start and ending times. Supervisors with special lockout release badges can override lockout restrictions for employees authorized to work extra hours or that have been call in to work outside of their regular schedule

   
 

NOVAPic Badge Module (ADD-ON MODULE - CALL FOR PRICING) - The NOVAPic Badge Printing Module is a simple add-on module allowing for the printing of professional picture ID badges (requires purchase of special badge printer). With just a few clicks of the mouse you and the NOVAPic Module for the NOVAtime 2000 software, you can generate custom ID badges for your employees

   
 

On Call - Call Back Module (ADD-ON MODULE - CALL FOR PRICING) - The On-Call-Call-Back Module is an enhancement to the already strong NOVAtime 2000 shift management configuration rules, designed to address the needs of companies that have to schedule and pay a fixed amount of hours to employees On-Call or if called in to work, pays a guaranteed minimum amount of hours. Companies can specify which days and times employees will be On-Call (tied in with their shift schedule), as well as the minimum amount of hours they will receive if called in and the pay rate they will be paid during such hours

   
 

Pay Matrix Module (ADD-ON MODULE - CALL FOR PRICING) - The Pay Matrix Module adds additional power to the hours distribution capabilities of the NOVAtime 2000 software.  The Pay Matrix Module adds the ability to determine which employees hours "qualify" for the distribution rule(s).  This is accomplished through several different definable qualifiers; employee group levels home assignment and/or transfer level, worked days of the week and/or holiday, and qualification based on hours worked. Once an employee's hours have qualified, the system can then direct the hours to different pay codes with various rate additions or overrides. Furthermore each Pay Matrix Code can have multiple pay matrix rules; where the system can be set to ignore subsequent rules of that Pay Matrix Code if the qualifications are met

   
 

Payroll Interface Module (ADD-ON MODULE) - The Payroll Interface Module allows for export of data in predetermined file formats for hundreds of common Accounting Softwares and Payroll Services such as ADP, Paychex, QuickBooks, Peachtree, and many more! These payroll bridges eliminate manual key-in of hours minimizing entry errors and boosting payroll processing efficiency.  The Payroll Interface Module licenses the use of one of over 200 available payroll bridges for use with the NOVAtime 2000 software. PCKey-In Module (ADD-ON MODULE) - The PCKey-In Module is a workstation based thin-client time clock that provides an efficient and inexpensive alternative to time clocks by allowing employees to register IN and OUT punches from their workstations, or at a central computer. PCKey-In's programmable function keys can be set to allow employees to review accumulated worked hours, accrued benefit hours, pay code hours (vacation, sick, etc.), and dollar amounts (tips, bonus, etc.) as well as group level (i.e. department, job task, etc) transfers. Use the PCKey-In module to help ensure employee punch times are representative of their productive time requiring employees to punch In / Out from their workstation.

   
 

PDF Report Module (ADD-ON MODULE) - The PDF Report Module is the most common module added by user of the NOVAtime 2000 software. With this module all users have the ability to create and save any of the NOVAtime 2000 software reports in PDF format.  Users utilizing the Email feature from the NOVAtime 2000's Report Generator are also able to attach these reports to email as pdf documents, right from within the NOVAtime 2000 software.

   
 

Point System Module (ADD-ON MODULE) - The Point System Module is a fully integrated performance tracking add-on that is designed to progressively track employees' punch and attendance practices and using this data to automatically generate merits, demerits, and employee notification documents. 

The Point System Module can track "bad" attendance behavior and reward employees with "good" attendance behaviors such as "perfect attendance", by either subtracting points or printing award letters such as bonuses, free lunch, paid day off, etc. 

The Point System Module will help automatically generate user definable letters for employees with "qualified" number of points or hours, such as warning letters, suspension letters, and even termination letters!

   
 

Project Tracking Module (ADD-ON MODULE - CALL FOR PRICING) - The Project Tracking Module allows employees to enter their time in "bulk" and assign their daily hours to different group levels. Unlike traditional punching employees are given more freedom to report their hours and more flexibility for system administrators to gather allotments of allocated time to different group levels; all done thru a workstation entry screen specifically designed for use by employees. The Project Tracking Module may be used in conjunction with the PCKey-in Module and/or the traditional badge terminal time clocks to help offer administrators of the time system the most versatility and employees the ideal method for time transaction entry and collection.

How a HandPunch works:
Every hand is unique. The HandPunch takes over 90 measurements of the length, width, thickness, and surface area of the hand and fingers - all in just 1 second. The technology uses a 32,000-pixel CCD digital camera to record the hand's three-dimensional shape from silhouetted images projected within the HandPunch.

The HandPunch disregards surface details, such as fingerprints, lines, scars, dirt, as well as fingernails, which may grow or be cut from day to day (addition of nail extension excluded). Because the HandPunch uses the unique shape of the users hand to verify identity, it can be used in machine shops, factories, manufacturing plants, and almost any industrial environment where fingerprint biometrics would not work properly. During enrollment, which takes approximately 30 seconds, the internal HandPunch processor and software convert the hand image to a 9-byte mathematical template, which is the average of the three readings.

When a person uses the HandPunch, it compares the shape of the user's hand to a template recorded during an enrollment session. If the template and the hand match, the HandPunch produces an a transaction record. The user's template may reside in internal memory of the HandPunch, who's employee capacity is independent of the time and attendance software's employee capacity. Among biometric technologies, hand geometry has the highest user acceptance. With the highest level of accuracy and ease of use, the HandPunch has become the most widely accepted biometric technology in use today.
